TRANSPORTATION COORDINATOR

 

Department:                     Communications

Reports to:                        Communications Supervisor

FSLA Status:                      Non-Exempt

 

Job Summary: Receives and schedules all transportation requests for ambulance transportation. Responds to all incoming calls and transfers them appropriately. Refers all requests to the dispatcher for availability and vehicle assignment.

 

Duties, Accountability and Responsibilities:

 

    • Answers all incoming telephone calls in Communications Center
    • Obtain and documents all pertinent transport information
    • Obtain and documents all critical information on each transport via computer or paper.
    • Request including, but not necessarily limited to:
      • Date of transport request, Person making the request along with their telephone number, Sending facility, Patient destination, Mode of transportation (ambulance, ALS or BLS), All pertinent patient demographic data, Determination of Medical Necessity (if applicable), Level of patient care required vs. requested (ALS, BLS), All Billing information, Accepting and sending physician when applicable, Diagnosis and Past Medical History when applicable
    • Prioritizes transport requests as needed
    • Schedules all transports in conjunction with the dispatcher
      • When scheduling early morning calls, the on-duty supervisor must be notified in order to arrange proper resources to handle the call.
    • Provides customer service / support liaison to clients & customers
    • Maintains a professional phone etiquette all times
    • Determines customer transportation needs and schedules transportation requests as appropriate
    • Obtains pre-transport insurance authorizations as required
    • Assists Communications staff as needed
    • Routine clerical tasks (e.g. filing and photocopying)
    • Performs related duties as may be assigned by Supervision
    • Conform to dress code and personal hygiene standards
    • Assist other department members as needed
    • Clean assigned areas
  • Support and adhere to GMR procedures and policies

 

Qualifications:

 

  • High School Diploma or equivalent
  • Data entry skills
  • Customer Service and good telephone skills

 

Physical Requirements:

 

  • Ability to sit for long periods of time in an indoor office environment
  • Ability to get up and down to use facsimile, copy machine and other office equipment
  • Hearing within normal limits
